We are seeking a driven, resourceful Transaction Coordinator & Client Care Specialist to own the client journey from contract to close, and beyond. This role is for someone with a whatever-it-takes attitude, who thrives in fast-paced environments and brings a client-first, growth-focused mindset.
As an extension of our leadership team, you’ll ensure every buyer, seller, and homeowner receives a seamless, referable experience. From managing transactions and reporting to building long-term client relationships, your mission is clear: create loyal fans eager to share their experience with others.
Key Responsibilities
- Own the Opportunity Pipeline – Manage the client journey from Representation Contract through three years post-closing
- Lead Pending-to-Close Operations – Act as the primary client contact during contract-to-close (excluding repairs, appraisal, and closing negotiations)
- Shadow & Support Agents – Partner with agents to anticipate challenges and deliver a consistent, exceptional client experience
- Daily Transaction Reporting – Prepare and distribute “Soft Close” reports covering opportunity stages, listings, buyers, and closings
- Track Closings & Financials – Maintain accurate records of transactions, commission payouts, and distributions
- Manage Client Review & Referral Systems – Drive 5-star Google reviews, capture referrals, and conduct satisfaction surveys
- Support Co-Op Agent Referrals – Develop systems for agent-to-agent referrals within the team and Market Center
- Vendor Relationship Management – Maintain strong vendor partnerships and vet new resources for clients
- Strategic Partnering – Provide insights, recommendations, and solutions to leadership for high-impact decisions

Education & Licensing
- High school diploma or equivalent required
- College coursework preferred
- Real estate licensing or prior real estate administration experience a plus
